How it works

How EPayWerks works

Connect

Create the client, send them a signed connect link, and let them authorize QuickBooks Online through Intuit's own consent screen. Tokens are encrypted before they are stored and refreshed automatically when they expire. The dashboard shows the company as connected the moment they finish.

Bill

Put every tenant on a plan. Subscriptions run on Stripe checkout, plan limits are enforced on every call, and the customer billing portal handles cards, invoices and cancellations without a support ticket.

Sync

Each client company gets its own QuickBooks client, built on demand from its stored connection. A short-lived cache keeps the fast path fast; an expired refresh token is surfaced as a reconnect prompt, never hidden.

Report

Run the standard QuickBooks reports for any connected company, browse its invoices, bills, customers and vendors, and export to CSV. Every call is logged against the client for usage and audit.

Stripe subscriptions and plan limits

Plan tiers map to Stripe prices with monthly or yearly intervals. Checkout creates the subscription, webhooks keep its status current (active, trialing, past due, unpaid, cancelled), and per-plan limits on reports and entity reads are enforced on every request.

Invoices and dunning

Stripe issues the invoice for every billing period. A paid invoice keeps the subscription active; a failed payment marks it past due so the dashboard and the tenant both see it, and Stripe's retry schedule chases the payment before anything is cut off.

Customer billing portal

Tenants open the Stripe billing portal from their billing page to update a card, download invoices, change plan or cancel at period end. The subscription record follows through the webhook, so nobody re-keys anything.

QuickBooks OAuth connect widget

A signed link that expires in seven days takes a client to a branded connect page and on to Intuit's authorization screen. The callback exchanges the code, encrypts the tokens and records the connection, with success and error pages the client actually understands.

Report and entity browser

Balance sheet, profit and loss, cash flow, trial balance, general ledger, aged receivables and payables, customer sales, customer balance and vendor expenses, with a date picker and table viewer. Invoices, bills, customers, vendors and journal entries in a searchable, paginated browser.

Encrypted token vault and audit log

QuickBooks access and refresh tokens are encrypted at rest with AES-256-GCM and only ever decrypted to make a call. Every connect, disconnect and data read is written to an audit log with the user, the client and the address it came from.

What is EPayWerks?

The billing and accounting layer of the Werks family. It runs multi-tenant subscriptions and plan limits on Stripe, issues invoices and a customer billing portal, and keeps QuickBooks Online in sync through Intuit OAuth. Every other Werks product's pricing page checks out through it.

Who is it for?

The Werks products first, as tenants of one shared billing service. Then accountants and small firms who want billing and books in one place: connect each client's QuickBooks company once and run their reports from a single dashboard.

How does a client connect their QuickBooks?

You create the client in the dashboard and send them a signed connect link that expires in seven days. They open it, click Connect, and authorize on Intuit's own screen. The callback stores the encrypted tokens and the dashboard shows the company as connected. No credentials ever pass through you.

What happens when a token expires?

Access tokens are refreshed automatically the next time the company is used. If the refresh token itself has expired, the client is marked as needing reconnection and the dashboard says so; a fresh connect link fixes it.

Which reports and records can I get at?

Eleven QuickBooks reports: balance sheet, profit and loss, cash flow, trial balance, general ledger, customer sales, aged receivables (summary and detail), customer balance, aged payables and vendor expenses. The entity browser reads twenty-nine record types, including invoices, bills, customers, vendors and journal entries, with search, paging and CSV export.

How are billing and plan limits enforced?

Each plan is a Stripe price with a report and entity-read allowance. Checkout creates the subscription, Stripe webhooks keep its status current, and every QuickBooks call is checked against the plan and written to the usage log. The billing portal lets a tenant change or cancel their own plan.
